Brief Role Description

 

This position is Career Level 18S and is home based with a Role Classification of Fully Remote.

Role Summary

 

The Volkswagen Academy Project Coordinator will assist the Volkswagen Academy sales training team to input schedules, track training and learning resources, and ensure projects are kept on time and within scope, while also providing reporting and feedback loops to help measure training delivery KPIs.

 

Examples of responsibilities may include:

  • Regular reporting (weekly, monthly, quarterly, annually)
  • Coordinating with training manager and lead trainers for course scheduling
  • Developing feedback loops to understand where and how frequently courses are required to fill training needs
  • Learning platform project management
  • Coordinating twice-yearly team community service activities
  • Keeping track of class fill rates, enrollments, coaching and training days
  • General administration duties, such as inputting invoices, internal systems requests, event forms, etc.

 

The Project Coordinator will assist both the Training Delivery Team and the Training Development Team within the Volkswagen Academy. Within the Training Delivery Team, the Project Coordinator will:

  • Provide monthly reporting including updates and analysis on class registration and attendance as well as coaching hours utilized.  Monitor and provide reporting on holding tanks along with analysis and recommendations for future scheduling based on demand.
  • Learning Management System (LMS) support and management including building classes, coordinating monthly class openings, and drafting monthly email notices announcing class openings.
  • Administrative assistance with group meeting planning to include coordination with corporate travel team, travel instruction communication, catering, and supplies
  • Coordination of team activities
  • Administrative support with in-person training at Volkswagen learning facilities
  • Within the Training Development Team, the Project Coordinator will:
  • Work directly with the Training Development Team and Learning Experience Platform vendor to manage content development schedule
  • Lead weekly meetings to track and update project development
  • Gather and report on feedback when required for course updates and change management
  • Create and input project and budget approval forms, manage invoices, and monitor spend towards training development projects when needed

Role Responsibilities

 

 

Main responsibility – 80%

  • Assist Volkswagen Academy Training Delivery team with administrative duties, reporting, and analysis
  • Assist Volkswagen Academy Training Development team with Learning Experience Platform vendor relationship and project management

 

Additional responsibilities – 20%

  • General administration duties such as tracking budget, inputting invoices, systems requests, helping to plan events, and coordination cross-functionally with other internal and external teams

Qualifications

 

Years of Relevant Experience:

  • 5 years relevant experience.

 

Required Education:

  • 4-year college degree            

 

Skills:

  • Operational experience in the automotive/OEM realm
  • General knowledge of training and adult learning
  • Interpersonal and interdepartmental skills
  • Fluency in Microsoft Teams applications
  • Experience working in project management software such as Confluence, Jira, Monday, etc.
  • Proactive and analytical, driven and fast-paced
  • Excellent written skills and the ability to craft communications to different types of audiences
  • Proven track record of managing multiple projects simultaneously 

 

Required Skills:

  • Project management experience
  • Regular reporting on various KPIs
  • Coordinating schedules
  • Adapting to scheduling needs of a team of ~16
  • General admin duties            

 

 

Desired Skills:
