Position Overview
The VGCA Accounting Shared Services Centre provides essential back-office accounting functions for General Ledger, Inventory, Accounts Receivable and Affiliates, Accounts Payable, and Fixed Assets for multiple VW group companies including Volkswagen, Audi, Bentley, Lamborghini, factory production, and electric vehicle infrastructure. The Parts Payable Coordinator is responsible to ensure the accurate and timely processing of domestic parts vendor invoices in accordance with corporate policies and procedures, effectively and efficiently for Volkswagen Group of America, and Volkswagen Group Canada. In addition, this role supports timely shipment of vehicle invoices and Manufacturers Certificate of Origins for VWGoA/VGCA dealers, fleet companies and corporate customers.
Key Responsibilities
• Ensure all assigned parts invoices are prepared, audited, and posted in the system within the established payment and month end timelines.
• Ensure accuracy of automated EDI Invoicing and billings through daily/monthly query analysis
• Prepare, send and track any manual and EDI invoice/purchase order discrepancy correspondence to business departments & vendors with clearly identified actions and requirements for resolutions.
• Support on ad hoc request for other reports, reconciliations and other related parts duties
• Prepare and process duplicate MCO requests for dealers, VCI and Bentley
• Support with logging, sorting and preparing MCOs for mail or courier
• Supporting the Parts & MCO Inquiry Mailbox as needed
• Support other administrative MCO tasks and updates as needed
• Ensure that all processes and desk procedure documentation are prepared, tested, and maintained.Identify and communicate opportunities for process improvement, thus always striving for automated, error free and efficient processes.
Qualifications
Formal Education
Associate Degree or College Degree in Business/Accounting
Experience
- 1+ year experience in Accounts Payable or similar discipline
- Proficient in all Microsoft Office products
- Clerical and administrative experience would be an asset
- Excellent customer service skills - ability to communicate clearly and professionally in person, over the telephone and via e-mail
- Excellent attention to detail Excellent organizational, time management and prioritization skills
- Positive attitude and able to work effectively within team environment
- Focus on process optimization and improvement
- Working knowledge of SAP would be an asset
Work Flexibility
- This position is fully on-site, requiring in office presence 5 days per week
Salary range is dependent on factors such as industry-based experience, skills, training, credentials, and other qualifications. The salary range for this role is $55,000-67,000, actual pay may vary based on experience, education, and internal compensation practices.
