Position Overview
The VGCA Accounting Shared Services Centre provides essential back-office accounting functions for General Ledger, Inventory, Accounts Receivable and Affiliates, Accounts Payable (AP), and Fixed Assets for multiple VW group companies including Volkswagen, Audi, Bentley, Lamborghini, Factory Production, CARIAD, ADMT and Electric Vehicle infrastructure.
The AP Vendor Master Specialist ensures accurate creation of all vendors, maintenance of vendor changes, and overall integrity of the applicable vendor master files, in accordance with corporate procedures and policies. The AP Vendor Master Specialist is also responsible for all failed payment resolutions & fraud prevention by ensuring all documentation is valid and complete and does not have any risks associated with the vendor records or bank accounts for payment.
Key Responsibilities
• Audit of paperwork, creation of new non-PO vendors in applicable SAP system in accordance with internal controls and tax
requirements
• Audit of paperwork, creation of PO vendors in the Central Supply Management system as well as applicable SAP system in
accordance with internal controls and tax requirements
• Complete sanctioned screening checks for all new vendor profiles through a Software tool prior to creating in SAP
• Complete banking verifications through a secure tool or verbally through a trusted contact
• Complete vendor analysis form for all checks for fraud and completeness and package of all documentation for secondary review
• Responsible for the monitoring of the centralized vendor maintenance mailbox ensuring priority topics are completed in a timely
manner
• Processing of batch vendor submissions via SAP in SM35, LDAP & any employees for AR lease overpayments
• Creation of all Affiliate vendor profiles & extensions as required
• Attend and represent any vendor master related topics in meetings and discussions with Business, Purchasing and Vendors.
• Follow up with vendors for bank change requests to complete required paperwork to update bank accounts as per established
internal controls for all applicable companies
• Review all failed payments and contact vendors to obtain updated documentation and complete verifications
• Attend and represent any vendor master related topics in meetings and discussions with Business, Purchasing and Vendors.
• Support with audit samples for internal or external audits, and support with action items where required related to vendor master
topics
• Ensure all desk procedures and process documentation is prepared, tested and maintained
• Identify and communicate opportunities for process improvement, thus always striving for automated, error free and efficiency
process
• Support and back up other AP functions as required
• Other related duties
Qualifications
Formal Education
- College Diploma – Major in Accounting and/or related discipline
Experience
- 3+ years of accounting experience in professional office environment
- Intermediate to advanced understanding of MS Suite (Outlook, Excel, Word, PowerPoint)
- Working knowledge of SAP considered a strong asset
- Previous Compliance, Audit and/or Fraud Prevention an asset
Competencies
- Ability to identify risk through critical thinking
- Ability to solve problems independently and define creative solutions to issues
- Proficient in all Microsoft Office products with a minimum intermediate Excel & advanced Outlook skill set
- Excellent customer service skills showcasing an ability to communicate clearly & professionally in person, over the phone or via email
- Excellent attention to detail with an ability to challenge and question if information does not appear accurate
- Excellent organizational & time management skills – ability to define tasks individually, multitask and process large volumes
- Positive attitude & able to work effectively within a team environment
- Focus on process optimization & improvement
Work Flexibility:
- This position is Hybrid
- Availability for occasional travel, as per business requirements
Salary range is dependent on factors such as industry-based experience, skills, training, credentials, and other qualifications. The salary range for this role is $60,000-63,000, actual pay may vary based on experience, education, and internal compensation practices.
